Mimecast: Requesting Large Files

If you have a client or third party who wishes to send us large files, Mimecast has a special feature to deal with this.

There are multiple benefits to this:

  1. No need for any disks or other media to be sent to us
  2. No need for paper to be sent for us
  3. It’s our system so the files are fully secure
  4. Large files can be uploaded
  5. The system will scan all files at the point they are uploaded so we know they are safe
  6. It’s instant

How to do it:

  1. In Outlook, start a new email
  2. Click the Mimecast tab at the top
  3. Click “Request Large Files”. You will see a message to say that an invitation will be sent
  4. Type your email and send as normal

A pop-up box will appear asking how long you would like the files to be accessible when uploaded. You can change this if you wish.

You will also be asked if you want to use an access key (this is unticked by default) and for these purposes it is better to leave it UNTICKED unless the files are extremely sensitive because using access keys can be frustrating. Click OK when you are happy with these settings:

That is all you need to do.

What happens next and how to get the files when they are uploaded

You’ll receive an email to say that the request has been sent (see below)

When the third party has uploaded their files, you will get the email below:

When you click on the attachment, you will see this with a button to download the files:

What does the client/third party see?

This is purely for information so you can see how easy it is for someone to use the link you send to them.  Files can be uploaded from any device that has an internet connection including phones.

This is what they will see. They will receive an email like this:

When they tap the link to Upload Files, they get this and can select “Add Files”. It really is as easy as that.
