Creating documents using speech recognition

Bighand Speech Recognition automatically transcribes dictations sent to a Speech Recognition workflow.  When you open a task that has been transcribed the Transcription Server, you are presented with the Proofreading window.  This provides you with the transcription text, which can be edited (corrected) and formatted, and then copied into your document template or email.


The Proofreading window also provides you with the option to train the author's Speech Recognition profile.  Any corrections which are made to the transcribed text are taken into account when the task is marked as "Complete" in Bighand.  This will help improve Speech Recognition accuracy as the system 'learns' from the corrections, making future transcriptions quicker to proofread as there will be fewer mistakes.


When an author sends a task for Speech Recognition, the  icon is displayed against the task in the Status column of the Work List to indicate that it is awaiting transcription by the Speech Recognition Server. Once the Speech Recognition serve picks up the task and begins transcribing it, the

icon is displayed instead.  As soon as the dictation has been transcribed, you will see

 icon displayed in the Status column to indicate that it is ready to be proofread.  Depending on your work practices, proofreading may be done by you or done by the author.  If the author proofreads the transcription, they may send the task onto the next step which is usually creating the final document.  You may have additional steps (e.g. 'Top and Tail', 'Document Production' or 'Ready to Print') in which case the task will be visible in the Work List with the Action column showing the next step (e.g. 'Top and Tail').



1.    Open the transcription task.  The Proofreading window is displayed, containing the text which has been transcribed by Speech Recognition.  If required, the window can be resized by clicking and dragging the bottom-right corner, or maximised using the maximise button at the top-right.



2.    (Optional) Click the Spellchecker  icon to perform a spelling check on the transcription.


Tip: You can set the Spellchecker to highlight words which are considered misspelt or grammatically incorrect by clicking Settings>Preferences and selecting the Check spelling as you type checkbox.


3.    (Optional) Click Show Playback Controls.  Use the controls to play the dictation whilst making corrections to the text.  You can rewind and forward the recording, and use the slider to go to any point in the dictation.  You can also pause the recording at any time whilst it is playing.



Tip: Shortcut keys are available: Jump to Start (Alt+Home), Rewind (Alt+Left-cursor), Play (Alt+Up-cursor), Fast Forward (Alt+Right-cursor) and Jump to End (Alt+End).


As you play back the dictation, each word is highlighted in the Proofreading window as it is being spoken.  This helps to identify and correct erroneous words as you listen to the recording.


Tip: Karaoke highlighting is on by default.  This can be turned off by navigating to Settings>Preferences and disabling Karaoke Auto Highlighter Mode.


You can also highlight a certain word, sentence or paragraph within the passage (by clicking and dragging the cursor within the text) to listen to that part only.


4.    Proofread the text, making any necessary corrections to words.


Important: If you are going to 'train' the profile, do not add or remove words at this point. Just check that the audio has been transcribed correctly.


5.    Click Train Profile' to enable the Transcription Server to learn from any corrections made.


Important: Do not train the profile if the transcription is already accurate - it could be detrimental to the author's Speech Recognition profile. The Transcription Server can only learn from any corrections once the status has been changed to 'Complete'.


6.    (Optional) Format the text as required using the Formatting toolbar.  Any formatting made here will be preserved when pasted into another application e.g. Word or Outlook.



You can change the font size, type and weight, make text underlined, add bulleted and numbered lists, and undo and redo changes.  You can also zoom in and out of the window and save changes so that they are kept next time the task is opened.


Tip:  You can also use the standard keyboard shortcuts: Bold(Ctrl+B), Underline(Ctrl+U), Italic(Ctrl+I) Cut(Ctrl+X) Copy(Ctrl+C) Paste(Ctrl+V) Undo(Ctrl+Z) Redo(Ctrl+Y) and Save(Ctrl+S).


7.    Once you have make all necessary changes, click the copy all to clipboard button to copy all the text in the window.


8.    Paste the text into the open document for processing.  Make any final changes to the text or formatting if required and save/print the document as per the usual working practice.


9.    When you have finished with the document, close the Proofreading window and on the Bighand Hub interface select 'Complete' from the Status drop down (displaying 'In Progress' when you have the task opened).  The task is sent to the Completed Items folder.

Formatting Commands

Proper nouns are automatically capitalised when using Speech Recognition.  However, if you have defined terms such as "Land Registry", use the Cap command to capitalise the initial letters of each word.


E.g. "cap land cap registry"


Use All caps to capitalise the whole of the next word.


Note: If the commands do not work as excepted, there is a particular way to correct them;


If Speech Recognition returns "I have contacted the cap land cap registry".


When you have clicked on the Train Profile button you can remove these commands from the text.
